Finance and Accounts Coordinator

Position Overview
Swift Public Adjusters is seeking an Finance and Accounts Coordinator to manage the financial operations of our growing public adjusting firm. Based in Story City, IA or Omaha, NE, this role owns end-to-end responsibility for accounts payable, accounts receivable, billing, payroll administration, and commission calculations. The ideal candidate is detail-oriented, organized, and comfortable working in a fast-paced environment where accuracy and discretion are essential.

Compensation
  • $34,101 – $46,502 annually (Salary.com)
  • $14.81 – $25.03 per hour (PayScale)
  • Compensation commensurate with experience

Key Responsibilities
Financial Recordkeeping
  • Review all accounts payable and accounts receivable; maintain accurate and timely records for all transactions
  • Prepare and send client invoices; ensure billing accuracy and timely delivery
  • Collect payments and manage accounts receivable follow-up, including outreach on outstanding balances
  • Identify and resolve billing discrepancies; escalate as appropriate
  • Distribute accounting reports and financial summaries as directed
Payroll Administration
  • Run and administer payroll on a timely and accurate basis using QuickBooks Online
  • Calculate and process employee and contractor commissions
  • Maintain payroll records and support related reporting and compliance tasks
Administrative Support
  • Process and distribute incoming mail; perform document scanning, file sorting, and records retention
  • Provide telephone operator coverage as needed
  • Perform other related duties as assigned

Qualifications
Required
  • High school diploma or equivalent
  • Ability to accurately and efficiently enter data into computer software and systems
  • Proficient mathematical and arithmetic skills
  • Strong verbal and written communication skills
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook)
  • Ability to prioritize tasks and meet deadlines in a fast-paced environment
  • Professional discretion when handling sensitive financial information
  • Proficiency in QuickBooks Online (QBO)
  • 1–2 years of experience in an accounting, bookkeeping, or finance role
Preferred
  • Associate’s degree or coursework in accounting, bookkeeping, or a related field
  • 5+ years of experience in an accounting, bookkeeping, or finance role
  • Experience with HRIS or ATS platforms (Namely or similar)
